Questions leaseholders ask before they appoint us

What does a managing agent actually do for a leasehold block?

We collect the service charge, hold and account for it, arrange repairs and maintenance, keep the communal areas insured and inspected, and handle the day-to-day running of the building. You keep the decisions on major works and budgets.

Is the service charge money kept separate from your own accounts?

Yes. Service charge funds sit in a designated client account, separate from our own money. We send you an annual statement of what came in and what was spent, and each leaseholder can ask to inspect the accounts.

How often will you visit the block and report back?

We carry out regular site inspections of the communal areas and record what we find. You receive a written report after each visit, so you can see what has been checked and what needs attention.

Who handles repairs, and can we use our own local tradespeople?

We hold a list of trusted local contractors for routine work. If you already know a good plumber or electrician for the block, tell us and we will look at using them where the quote and insurance cover are suitable.

What happens if a leaseholder falls behind with their service charge?

We write to them, explain the balance and agree a payment plan where that is sensible. If the debt stays unpaid, we follow the process in the lease, and we tell the other leaseholders what is happening.

Are you based locally, and can we meet you at the building?

Yes, we work in and around Totnes. We are happy to meet you at the block or at your flat, and we can sit down with the residents' committee when one exists.

Looking after a block means knowing the building

We walk the communal areas, the bin stores, the roof access and the car park ourselves. That way the small problems get fixed before they turn into a large bill for every leaseholder.

We reply within two working days, and the first conversation costs nothing.

Service charge collection and accounts

We set the annual budget with you, collect each leaseholder's share, and keep the money in a separate client account with a clear statement at year end.

Repairs and maintenance

From a leaking gutter to a broken communal door, we instruct local trades, check the work has been done properly, and approve the invoice.

Regular site inspections

We visit the block on a set schedule, check the fire alarm, lighting, drains and bin areas, and send you a written report afterwards.

Communal cleaning and grounds

Stairwells, hallways, paths and gardens are kept on a rota, and we change the contractor if the standard slips.

Meetings, notices and records

We organise the annual meeting, send out notices, answer leaseholder queries, and keep the health and safety file up to date.
